How RangaLabs Builds AI Outbound Email Pipelines — From Prospect to CRM, Automated

Most B2B outbound email works like this: compile a list, blast it with a generic message, and hope someone replies. The conversion rates are poor because the message is not relevant to the person receiving it, and the follow-up is inconsistent because someone has to manually track replies.
RangaLabs builds outbound pipelines that work differently. Every step — from identifying the right contact to classifying the reply — is automated and personalised.
Step 1: Decision-maker identification
The first step is identifying the right person to contact. Not the general company email. The specific decision-maker for the relevant service — the person who has the authority to say yes and the reason to care. This involves researching the target organisation and identifying the relevant role: operations manager, fleet manager, DPA, managing director, or whoever the right contact is for that specific offer.
Step 2: Personalised email sequence
The outreach is not a generic template with the recipient’s name inserted. It is written with context specific to the recipient and their organisation. The email explains a relevant problem, connects it to the specific service, and includes a clear call to action. A follow-up is sent automatically if there is no response after a defined period. The sequence is managed by Mautic, which tracks send state and prevents duplicate sends.
Step 3: AI reply classification
When a reply comes in, an AI workflow reads the email and classifies it. Five categories: Interested — the prospect wants to know more or book a call. Not Interested — a clear decline. Question — they have asked something specific before deciding. Out of Office — an automated absence reply. Unsubscribe — a request to stop receiving emails. Each classification triggers a different automated action. An interested reply routes to a calendar booking prompt. A question triggers a drafted response for human review. An unsubscribe immediately removes the contact from the campaign.
Step 4: CRM update
Every action — email sent, reply received, classification made — updates the contact record in Twenty CRM automatically via n8n. The sales pipeline reflects the current state of every prospect without anyone manually entering data. When someone picks up the conversation, the full history is already there.
What this replaces
Manually searching for contact details. Manually writing individual emails. Manually checking for replies. Manually logging follow-ups in a spreadsheet. Manually deciding whether a reply is interested or not. All of this happens automatically. The human is involved at the decision points that matter — reviewing drafted responses to questions, taking the call with an interested prospect. Everything else is handled.
